Job Description

As a Procurement and IT Asset Management Coordinator, you will be responsible for managing supplier information, ensuring accuracy of asset records, maintaining good supplier relationships, and negotiating contracts. You will also assist with purchasing and managing IT assets.

Responsibilities:

  • Manage and update supplier information, including qualifications, delivery times, product ranges, and contracts.
  • Manage product support and warranties, software contracts, hardware purchases, and license information.
  • Record and ensure accuracy of assets in the Fixed Asset Management System.
  • Arrange for repairs of defective equipment with vendors and ensure timely replacement.
  • Maintain good supplier relations and negotiate contracts.
  • Assist with purchasing and managing IT assets.
  • Obtain and review competitive bids, quotes, and proposals from vendors and contractors.
  • Provide pricing quotes for items and prepare orders with suppliers.
  • Ensure the quality of the materials received matches the line items of the purchase order.
  • Work with IT Helpdesk to maintain a repository of enterprise software licenses/keys.
  • Update and maintain inventories for all IT equipment and supplies, including location, asset tag number, serial number, make, and model of equipment. • Coordinate with Helpdesk for on-site services calls for equipment installation and maintenance as needed.
  • Maintain the VPR sheet and share it with the Finance Department for timely payment of vendors.

Qualifications:

  • Excellent organizational and communication skills
  • Strong attention to detail and accuracy
  • Familiarity with procurement processes, contract negotiation, and asset management
  • Basic understanding of IT hardware and software
  • Bachelor’s degree in Business Administration or related field (or equivalent work experience)
